This Privacy Policy explains what data is processed when you use the website or contact the Controller, the purposes for which it is processed, and the rights available to data subjects.

2. Categories and sources of data

The Controller obtains data directly from you when you complete a form, contact the Controller by telephone, or correspond with the Controller. Technical data is also generated when you use the website.

  • identification and contact details, such as your first name, surname, telephone number and email address;
  • the content of your message and any other information you voluntarily include in correspondence;
  • technical data, such as your IP address, browser and device type, request time, the URL visited and server log entries;
  • data associated with the use of Google Maps and reCAPTCHA, as described in section 5.

Providing data is voluntary, but fields marked as required must be completed in order to submit a form and handle your enquiry. Please do not include special-category data or any other information that is not needed to answer your enquiry.

3. Purposes and legal bases for processing

Personal data is processed only to the extent necessary for the following purposes:

  • responding to enquiries, corresponding with you and handling your request – under Article 6(1)(f) GDPR, based on the Controller’s legitimate interest in communicating with people interested in its activities;
  • taking steps at your request before entering into a contract where your enquiry concerns an offer or potential cooperation – under Article 6(1)(b) GDPR;
  • processing covered by consent that you have expressly given – under Article 6(1)(a) GDPR; you may withdraw consent at any time;
  • operating and securing the website, preventing spam and abuse, and technical diagnostics – under Article 6(1)(f) GDPR;
  • establishing, pursuing or defending legal claims and complying with legal obligations – under Article 6(1)(f) or Article 6(1)(c) GDPR, as applicable.

Where processing is based on a legitimate interest, the Controller considers the nature of the data and the rights and reasonable expectations of the data subject in each case.

4. Recipients of personal data

Data may be disclosed only to the extent necessary to operate the website, handle communications, or comply with a legal obligation. Recipients may include:

  • providers of hosting, email and website maintenance services;
  • IT service providers and entities supporting the Controller in handling correspondence;
  • Google as the provider of Google Maps and reCAPTCHA;
  • public authorities or other entities entitled to receive data under applicable law.

Processors acting on the Controller’s behalf do so under appropriate agreements and in accordance with the Controller’s documented instructions, unless the law provides otherwise.

5. Google Maps and reCAPTCHA

A Google Maps map is embedded on the Contact page. Displaying it establishes a connection to Google’s servers and may involve the transfer of technical data, in particular your IP address, device and browser information, and the URL visited. If you are signed in to a Google account, any further association of your activity depends on your account settings.

The forms are protected by Google reCAPTCHA v3. The service loads when you interact with a form and analyses technical signals and how the website is used in order to protect against spam, fraud and automated abuse. It may use cookies or similar technologies, including the _grecaptcha cookie.

Google may process data in countries outside the European Economic Area. Where such a transfer takes place, it is made under a mechanism provided for in Chapter V GDPR, in particular an adequacy decision or standard contractual clauses, depending on the recipient and place of processing.

6. Retention periods

The retention period depends on the purpose and legal basis of the processing:

  • enquiry and correspondence data – for as long as necessary to handle the matter and then until any related claims become time-barred;
  • data processed on the basis of consent – until consent is withdrawn or the purpose ends, whichever occurs first, unless continued retention is required or permitted on another legal basis;
  • logs and technical data – for as long as necessary for security, diagnostics and website administration, in accordance with the hosting provider’s applicable practices.

At the end of the applicable period, data is erased or anonymised unless further retention is required by law.

7. Data subject rights

Subject to the conditions set out in the GDPR, you have the right to:

  • access your data and obtain a copy;
  • rectify inaccurate data or complete incomplete data;
  • have your data erased;
  • restrict processing;
  • data portability where the conditions laid down in the GDPR are met;
  • object, on grounds relating to your particular situation, to processing based on Article 6(1)(f) GDPR;
  • withdraw consent at any time, without affecting the lawfulness of processing carried out before its withdrawal;
  • lodge a complaint with the President of the Personal Data Protection Office (Prezes UODO) if you believe that the processing infringes data protection law.

You may submit a request to exercise your rights to the Controller by post, telephone, or through the contact form referred to in section 1.

These rights are not absolute. Their application depends, among other things, on the legal basis and purpose of the processing and on obligations imposed by law.

8. Cookies and similar technologies

The website uses the functional pll_language cookie to remember your selected language and display the correct language version of the website.

Google Maps and reCAPTCHA may use cookies or similar technologies as described in section 5. In particular, reCAPTCHA may use the _grecaptcha cookie needed to protect forms against abuse.

You can manage cookies in your browser settings. Restricting necessary cookies or blocking connections to Google services may affect the operation of the language selector, map or forms.

As at the date on which this Policy was last updated, the website does not use Google Analytics.

9. Security and automated decision-making

The Controller uses technical and organisational measures appropriate to the nature of the data and the risks involved in order to protect personal data against unauthorised access, loss, alteration or disclosure.

Your data is not used to make decisions about you based solely on automated processing that produce legal effects or similarly significantly affect you. reCAPTCHA automatically assesses the risk of abuse solely in order to protect the forms.

10. Changes to this Privacy Policy

This Policy may be updated, in particular when the website’s functionality, the services used, the way data is processed, or legal requirements change.

The current version is always published on this page. The date of the latest update appears at the beginning of the document.
